Application for Virtual Office
Submission of documentation
Flexum ApS is subject to the Anti-Money Laundering Act and therefore requires documentation from all the beneficial owners of the company before the application for Virtual Office can be approved.
Signing of contract
After the application is approved, a contract is submitted for signature. In case of refusal of application, the full amount will be refunded.
Bruges Flexum's address before the first period has been paid, the contract signed and documentation submitted, the application is cancelled and the company is reported to the Danish Business Authority.
Booking of premises
Booking is made via electronic booking system with name, e-mail, telephone number and possibly company name.
Cancellation time varies by location. Please refer to the cancellation policy in the description of each room on the website and during the booking process. If the cancellation deadline is exceeded, full price will be charged.
No catering is available at this time.
Electronic communications
All communication, including invoices, booking confirmations and other communications, takes place electronically via email provided.
Consent to images and marketing
By accepting the terms, we consent that Flexum ApS may use images taken at Flexum's locations for marketing purposes. The consent can be withdrawn at any time by contacting kontakt@flexum.dk.

Prices and Payment
- Payment is received via Stripe and bank transfer.
- All amounts are in DKK excluding VAT.
- Payment deadline is net cash, payment is due on the 1st of each month.
- Flexum ApS does not store payment information, which is handled securely through Stripe.
- Invoices will be sent by email after payment.
- Changes in prices are notified with one month's notice.
Non-payment
- In case of non-payment, the handling of mail and parcels ceases.
- Withdrawal fees apply in case of late payment.
- Account and contract are cancelled after repeated twitching.
- Continued use of address without payment leads to reporting to the Danish Business Authority.
The Lease/ Virtual Office
- The lease: Maglebjerg Road 6, 2800 Kongens Lyngby.
- The tenant is responsible for compliance with applicable laws and regulations.
- Changes to company information must be notified to Flexum ApS.
Mail and Parcel Management
- Packages should be addressed to the company, not individuals.
- Only parcel mail will be received. Cargo/Freighter deliveries are not accepted.
- Flexum ApS acknowledges receipt of mail and parcels.
- Flexum ApS disclaims responsibility for lost packages and letters.
- Tenants with Virtual Office Plus solution provides acceptance for opening and scanning mail. Tenants with other solutions must notify by email of permission to open and scan mail.
- All mail is sent according to the agreed agreement, regardless of whether the mail is regular mail, quick-letter, recommended or regular.
Termination
- Virtual Office: No later than 1 business day before the end of the paid period.
- Telephone matching: Ongoing month + 1 month.
- Flexum may terminate with immediate effect by:
- Non-payment
- Illegal use of address
- Violation of Flexum's conditions
- Public appearances or activities that may damage Flexum's reputation.
Address usage after termination
If the address is used after termination, the subscription will continue to be billed and the administration fee of DKK 500, - per month. In case of prolonged use without permission, the company is reported to the Danish Business Authority.
COVID-19 and extraordinary circumstances
Flexum follows the recommendations of the authorities at all times and may impose special restrictions in the event of pandemics or similar exceptional situations.
The right to refuse service
Flexum reserves the right to refuse service/access on suspicion of abuse or violation of applicable rules.
Deposit
No deposit is required for Virtual Office. For Telephoning, a deposit is charged, which is offset against the last invoice. Any excess amount will be refunded after the end of the period.
Confidentiality and Personal Data
Flexum ApS processes personal data in accordance with GDPR. Personal data is stored securely and is not disclosed without consent or legal requirements. Customers have the right to access, rectification and deletion of data.
Changes to conditions
Changes are notified by email with at least one month's notice of significant changes. Minor changes are not notified separately. The applicable terms can always be found on flexum.dk.
Reimbursement
Refunds will be refunded to the means of payment used.

Price Match at Virtual Office
What the price-match guarantee includes
- Price match will apply if the Renter proves that a Equivalent Virtual Office Solution (same type of service, address range, level of service and binding period) offered at a lower price with a Danish provider with CVR and whitewash registration.
- The offer must be publicly available at the time of the Lessee's enquiry — e.g. on the provider's website.
- Price match only applies to Uniform service packages, including mail handling, address usage, forwarding, and any additional services, which must be directly comparable.
- The price match applies to the rent itself, not to additional services such as mail and parcel handling or the like.
How to make use of price match
- The tenant must link to substantiation for the lower price of Flexum Coworking. For new tenants, a link will be sent in our Virtual Office application form. For existing tenants, an email requesting a price match will be sent to kontakt@flexum.dk containing a link to the price to be matched.
- The documentation must show the current price and that the service is offered by an active Danish company with a CVR number.
- Flexum Coworking reserves the right to verify the information prior to price match approval.
Exceptions
The Price Match Guarantee does not apply if:
- The lower price is due to limited-time promotions, introductory offers or discounts, which apply only to new customers.
- Offer is subject to purchase of other services or combination packages.
- These are private or unofficial providers, without Danish VAT and CVR registration.
- The service differs significantly in quality, support, mail handling, address location, or other essential terms.
- The documentation is incomplete or no longer applicable.
How to pay the price adjustment
- Once the price match request has been approved, we will regulate the current invoice or provide a corresponding downbeats in the price of the ongoing service.
- Price match only applies prospectively and not retrospectively for previously paid periods.
- Price matches cannot be combined with other discounts, loyalty or promotional offers unless otherwise agreed in writing.
Abuse and termination
- Flexum Coworking reserves the right to reject requests deemed unreasonable or contrary to the purpose of the scheme.
- In the event of repeated misuse or misrepresentation, the right to the Price Match Guarantee may be suspended or revoked.
- Flexum Coworking may change or discontinue the price match scheme with 30 days' notice. Changes do not apply to already approved requests.
