Application for a Virtual Office

Submission of documentation

To set up a Virtual Office with Flexum Coworking, valid ID and documentation of the company’s registration must be submitted. This includes a health insurance card or passport for the owner/managing director, as well as a CVR registration certificate or articles of incorporation for new companies.

Signing the contract

The agreement only enters into force once the contract has been digitally signed via our system. The contract contains all terms of the collaboration.

Booking of rooms

All bookings of meeting rooms, offices, and other facilities are made electronically via our booking system. By booking, you accept the applicable terms for use of the room, including cancellation rules and payment terms.

Electronic communication

By entering into an agreement with Flexum Coworking, you accept that all communication will be sent electronically, including invoices, reminders, newsletters, and other relevant information regarding your subscription or booking.

Consent to photos and marketing

When using Flexum Coworking’s facilities, you consent to photos being taken in the common areas, which may be used for marketing purposes. If you do not wish to appear in photos, please inform the staff.

Complaints and feedback

We take complaints and feedback seriously. If you have a complaint or suggestions for improvements, please contact us at kontakt@flexum.dk or +45 70 555 255. We aim to respond to all enquiries within 2 business days.

Prices and payment

  • All prices on the website are stated excluding VAT, unless otherwise specified.
  • Payment for Virtual Office and other subscriptions is charged monthly in advance via automatic card payment.
  • When booking rooms, payment is made upon confirmation of the booking.
  • Flexum uses Stripe as the payment solution for secure handling of card details.
  • Invoices are sent electronically to the email address provided.
  • In the event of price changes, at least 30 days’ notice will be given.

Non-payment

  • In the event of non-payment, a reminder will be sent after 7 days.
  • If payment is still not received after 14 days, a reminder fee of DKK 100 will be charged.
  • If payment is not received after 30 days, Flexum Coworking reserves the right to suspend or terminate the agreement.
  • In the event of suspension of the Virtual Office, mail handling and use of the address will cease.
  • Outstanding amounts may be referred to debt collection, and all related costs will be charged to the customer.

The lease / Virtual Office

  • A Virtual Office entitles you to use Flexum Coworking’s address as your company address.
  • The address may only be used for lawful business and must not be used for activities that may harm Flexum Coworking’s reputation.
  • Flexum Coworking reserves the right to reject or terminate agreements with companies deemed to be in breach of this.
  • Use of rooms and common areas is subject to Flexum Coworking’s house rules and guidelines.

Mail and parcel handling

  • Flexum Coworking receives and stores mail and parcels for customers with a Virtual Office.
  • Customers are notified of received mail via the digital mailbox (Plus subscription only).
  • Mail is stored for up to 30 days, after which it is returned to the sender.
  • Parcels over 5 kg or with special storage requirements may incur additional fees.
  • Flexum Coworking assumes no responsibility for the contents of received mail or parcels.
  • Mail forwarding can be purchased as an additional service.

Termination

Termination of subscriptions and agreements must be made via this form or by email to kontakt@flexum.dk.

Virtual Office

The agreement may be terminated with 1 day’s notice; tenants are not entitled to a partial refund if the termination falls within a payment period.

Telephone answering

Termination may be made with 1 month’s notice to the end of a month.

Room rental

Cancellation of booked rooms must be made at least 24 hours before the start of the booking to avoid full payment. If cancelled less than 24 hours before, the full price will be charged.

Use of address after termination

After termination of the Virtual Office, Flexum’s address must be removed from all company registrations, websites, letterheads, and other materials within 14 days after the end of the notice period. Continued use of the address after this period is considered misuse and may result in legal action as well as a claim for payment for the period during which the address continues to be used.

COVID-19 and extraordinary circumstances

In the event of force majeure, including but not limited to pandemics, natural disasters, or government orders, Flexum Coworking may be required to restrict access to facilities or temporarily change services. In such cases, Flexum Coworking will endeavour to inform all affected customers as soon as possible and offer reasonable alternatives.

Right to refuse service

Flexum Coworking reserves the right to refuse or terminate cooperation with companies or individuals who, in Flexum Coworking’s assessment, conduct illegal business, behave in a threatening or disrespectful manner towards staff or other customers, repeatedly fail to meet payment obligations, or otherwise act contrary to good business practice.

Deposit

When setting up a Virtual Office, a deposit equivalent to 1–2 months’ subscription may be charged. The deposit is refunded upon proper termination and return of any keys, minus any outstanding amounts or fees for failure to remove the address from registers.

Confidentiality and personal data

Flexum Coworking treats all customer information confidentially and in accordance with applicable GDPR legislation. Personal data is used solely for administration of the customer relationship and will not be disclosed to third parties without consent, unless required by law. Changes to the terms

Flexum Coworking reserves the right to amend these terms with 14 days’ notice. Material changes will be communicated by email. Continued use of Flexum Coworking’s services after the notice period is considered acceptance of the updated terms.

Refunds

Prepaid subscriptions and bookings are generally non-refundable. Exceptions may be made in special circumstances at Flexum’s discretion. Please contact us to discuss any possible exceptions.

Price match for Virtual Office

Flexum Coworking offers a price match guarantee on Virtual Office subscriptions. If you find an equivalent service cheaper with another Danish provider, we will match the price.

What the guarantee covers

  • Comparable Virtual Office services from Danish providers
  • Services with equivalent content (address, mail handling, etc.)
  • Price differences of at least DKK 50 per month

How to use the price match

  • Contact us with documentation of the competitor’s price (link to website or offer)
  • We verify that the service is comparable
  • Upon approval, your price will be adjusted from the next payment period

Exceptions

  • Promotional offers, introductory prices, or time-limited discounts
  • Providers without a physical address in Denmark
  • Services that are not directly comparable in content
  • Prices that are not publicly available

How the price reduction is applied

With an approved price match, your subscription will be reduced to the matched price. The price reduction applies as long as the competitor’s price remains valid and the service remains comparable.

Misuse and termination

Flexum Coworking reserves the right to reject price match requests in cases of suspected misuse, including false offers or coordinated attempts to obtain unreasonable discounts. The price match guarantee may be changed or withdrawn at any time with 30 days’ notice.
